Project Board Starter Guide

A project board shows every task and where it stands, at a glance. You can build one in any project app, a spreadsheet or on a wall with sticky notes. This guide covers the setup and the habits that keep it useful.

Build your first board

1

Make three columns

To Do, Doing and Done. Add a Waiting column only if tasks often stall on other people.

2

Write tasks as actions

Start each card with a verb: 'Draft the welcome email', not 'Email'. A clear card is easy to start.

3

Keep cards small

If a task takes more than a day or two, split it into smaller cards.

4

Limit work in progress

Allow yourself no more than three cards in Doing. Finishing beats starting.

5

Add due dates only where they're real

Too many fake deadlines make the real ones easy to miss.

Daily (2 minutes)

  • Move finished cards to Done
  • Pick today's one to three cards and move them to Doing
  • Note anything waiting on someone else

Weekly (15 minutes)

  • Review To Do and delete cards that no longer matter
  • Split any big, stuck cards
  • Archive Done cards older than two weeks
  • Choose next week's top priorities
