Simple Notes System Guide
A notes system only works if it's simple enough to keep using on a busy day. This guide sets up one home for your notes, a handful of folders, and a short weekly habit that keeps it all findable. It works with any notes or docs app, or with paper.
Set it up in an afternoon
Pick one home
Choose one app or one notebook as the place where notes live. Scattered notes in five places is the most common reason a system fails.
Create three folders
Inbox (everything new lands here), Active (projects and areas you're working on now) and Archive (finished or reference). That's enough to start.
Use a title pattern
Start each note title with a date or a type: 2026-11-03 Call with printer supplier, or Checklist: monthly backups. Titles are what you'll search for later.
Make one template
Create a short meeting-notes template: date, who, decisions, next steps. Copy it each time instead of starting blank.
The 10-minute weekly tidy
- Empty the Inbox: move each note to Active or Archive, or delete it
- Turn any 'next steps' into tasks in your planner or project board
- Move finished project notes to Archive
- Star or pin the three notes you'll need most next week
What goes where
| Meeting notes | Active, inside the project they belong to |
|---|---|
| Ideas and drafts | Inbox until the weekly tidy |
| How-to steps you repeat | A Reference note in Archive, pinned if used weekly |
| Receipts and documents | A dedicated folder, named by year |
